How to Create a Booking Calendar Clients Can Actually Use
A booking calendar is a page of open time slots. You send one link; the client picks a slot; it appears on your calendar with a confirmation to both of you. Here is the simplest version, end to end.
The steps
-
Open Calendars settings
Click Calendars in the left sidebar, then find the Calendar Settings or Create Calendar button near the top-right corner.
-
Create a new calendar
Click + New Calendar and choose the simple/personal booking option if it asks. Name it what clients should see — for example 15-Minute Intro Call.
-
Set the meeting length
Set the duration to 15 or 30 minutes. Short first meetings get booked more often.
-
Set your available hours
In the availability section, tick the days you work and the hours you actually want calls — for example Monday to Friday, 10:00 to 16:00. Leave yourself lunch. Save.
-
Copy your booking link
Back on the calendar list, every calendar has a share or link icon. Click it and copy the booking link.
-
Book a test appointment on yourself
Open that link in a private/incognito browser window, book a slot using your own email, and watch it appear under Calendars → Appointments. Nothing builds trust in your own system faster.
Success check: your test booking shows up in the appointments list and a confirmation email arrives in your inbox.
Common questions
“Can it sync with my Google Calendar?” Yes. Under Settings → Integrations you connect Google (or Outlook), and busy times on your personal calendar automatically block booking slots.
“Where do I put the booking link?” Everywhere: your email signature, your website’s “Book a call” button, your Instagram bio, and in text messages to leads.
“Can clients cancel or reschedule themselves?” Yes — the confirmation email includes links for both, and the calendar updates automatically when they use them.
