TLDR: You import contacts into GoHighLevel with a CSV file, then map its columns to existing contact fields. Excel workbooks and Google Sheets documents need a CSV export first. Before you click Bulk Import, check how HighLevel will match duplicate contacts and whether every contact gave permission for the messages you plan to send.

To upload your contact list, export a CSV, open the importer under Contacts → Smart Lists, map each column to a Contact field, review the settings, and click Bulk Import.

Your list is in Excel, Google Sheets, or another CRM, but HighLevel does not have those contacts yet. You are looking at the column headers and wondering where each name, number, and custom detail belongs. Start with a CSV export: HighLevel’s contact-import guide, updated March 18, 2026, specifies CSV as the accepted format. This guide from GHL.Support walks you through CSV export, field mapping, duplicate checks, consent, and import errors.

I read HighLevel’s CSV formatting guide, its contact import guide and its guide to duplicate contacts before writing this, and you need to check your field mapping separately from your contact matching settings. Create the destination fields before uploading. Then choose whether your file should create records, update them, or do both.

How do you get your list into a CSV?

An older business owner works on his laptop from the sofa, from our import contacts guide
Excel CSV exports save only the active sheet.

Export your contact worksheet as a CSV before opening the importer. HighLevel’s CSV-format guide, updated February 25, 2026, requires a header row and one sheet per file. For new contacts, include at least First Name, Email Address, or Phone Number.

    1. In Excel, open your workbook and select File → Save As or Save a Copy. Choose a location and filename, then select a CSV format from the file-type box. Microsoft’s workbook export instructions say CSV saves only the active sheet and text formats remove formatting.
    2. In Google Sheets, open your file and use File → Download as, then select CSV. Google’s undated Excel and Sheets guide uses the label Download as and lists CSV as a format.
    3. In your CRM, export the contact list as a CSV, using that CRM’s export instructions for the exact menu and button names. Review its column headers against HighLevel’s standard and custom fields before uploading.

Keep your upload below 30 MB. The February 25 CSV-format guide lists a 30 MB maximum, while the getting-started import guide, updated March 24, 2026, permits files up to 50MB. The published limits disagree, so use the smaller figure when splitting your file.

    CSV item What to prepare
Headers Use column names that correspond to standard or existing custom fields.
Phone numbers HighLevel’s February 25, 2026 guide recommends E.164 and gives +11234567890 as its example.
Custom fields Create matching labels and data types in HighLevel before mapping.
Dropdown and multiselect values Match the options already defined in your account.

How do you import contacts into GoHighLevel step by step?

A contractor checks a tablet in a room under renovation, from our import contacts guide
Create custom fields before you map columns to them.

The import opens at Contacts → Smart Lists → Import Contacts. HighLevel’s combined import guide, updated September 16, 2026, names that path and button. The getting-started guide offers Download Sample File if you need an example of standard Contact Fields for contact management.

    1. Confirm your user account has Admin access. HighLevel’s March 18, 2026 contact-import guide restricts contact imports to Admin users.
    2. Create missing fields through Settings → Custom Fields → Add Field. Select the field type, fill in its details, and click Save.
    3. Open Contacts → Smart Lists and click Import Contacts. Select Contacts, click Next, then click Upload File and choose your CSV.
    4. Open Choose how to import contacts/opportunities. Choose whether the CSV should create records, update records, or do both.
    5. Map each spreadsheet column to its Contact field. Match each custom-field column to an existing field with the same label and data type.
    6. Name your import, then choose whether to create a Smart List, add a tag, or enroll contacts in a workflow. Leave workflow enrollment unselected until you have checked the intended messaging permission.
    7. Set the import’s consent preferences before you click Bulk Import. Select the required confirmation checkbox, then click Bulk Import.
    8. Wait for the contacts to finish importing. Open Contacts → Bulk Actions in your sub-account, locate the import, and check its status. Click Show Stats to review successful records and errors.

When you map a field, you tell HighLevel where to put each spreadsheet column. Adding a new column to the spreadsheet does not create its destination field. The CSV-format guide says HighLevel ignores an unknown field unless you map it to an existing standard or custom field.

What happens to duplicates when you import contacts?

Two business partners compare laptops at a cafe table, from our import contacts guide
Remove or combine repeated identifiers within your CSV before re-importing into HighLevel.

For CSV imports, HighLevel checks email or phone for an existing contact and automatically merges matching contacts. HighLevel’s deduplication guide, updated April 7, 2026, excludes CSV uploads from Allow Duplicate Contact, so enabling it does not force a duplicate CSV record. Before you import an update file, open Settings → Business Profile → Contact Deduplication Preferences and check whether Email or Phone is the primary match.

    1. Before uploading, check your CSV for repeated emails, phone numbers, Contact IDs, or other unique values. The September 16, 2026 combined import guide treats these repetitions as import errors. Remove or combine duplicates before importing or retrying the file.
    2. Open Settings → Business Profile → Contact Deduplication Preferences.
    3. Review Find Existing Contacts Based On. The guide lists Email as the default and Phone as another choice.
    4. Review Second Preferences for Search if you want a secondary matching field. For an update, include the applicable Contact ID, email, or phone in your CSV.

Choose Update Only when your task is to revise existing records. Choose Create & Update when your list includes both existing contacts and new entries. The March 18 contact-import guide documents the update matching order as Contact ID → Email → Phone, while the deduplication guide describes your configurable email and phone preferences.

Use contact identifiers to match contacts and the Opportunity ID to match an existing deal in your sales pipeline. HighLevel’s opportunity-import guide, updated September 17, 2026, requires the correct Opportunity ID to update an existing deal. If the CSV lacks the correct Opportunity ID, HighLevel may create another opportunity instead of updating the intended one.

Are you allowed to text or email an imported list?

A florist reads a tablet in her shop, from our import contacts guide
HighLevel requires valid permission before sending SMS.

Your import does not establish permission for SMS marketing. HighLevel’s LC Phone messaging policy, updated September 15, 2026, states: “Send SMS only to contacts who have provided valid permission.” It also states: “Consent cannot be purchased, sold, or exchanged.”

Your email marketing needs permission too. HighLevel’s email sender requirements guide, updated June 30, 2026, says: “Only send emails to people who have given permission to receive them.” Confirm your consent process with your own counsel before enrolling imported contacts in messaging workflows.

Before you click Bulk Import, check whether the wizard will add your contacts to a workflow. The import wizard offers workflow enrollment, and the messaging policy applies to manual texts, workflows, and bulk actions. Initial text messaging must identify the business and provide an opt-out method, and withdrawn SMS consent requires a valid new opt-in before further sending.

What do you do when the import fails?

An office manager takes a call at her desk, from our import contacts guide
Click Show Stats to review import results and errors.

Open Contacts → Bulk Actions, find your import, and click Show Stats. HighLevel’s Bulk Actions guide, updated March 23, 2026, names Download as the error-log control. HighLevel describes failed-record identifiers and actionable reasons as the error log’s typical contents.

    1. Enter the sub-account where you ran the import, then open Contacts → Bulk Actions.
    2. Locate the import and click Show Stats. Review successful records and failures, then open the Error tab described in the import guide.
    3. Use Download to save the error log. Correct the affected identifiers, field formats, or mappings and retry the failed rows.

Do not treat Restore as an import rollback for your list. The Bulk Actions guide reserves it for eligible contact deletions, and the opportunity-import guide says completed opportunity imports have no one-click undo. Test a small sample before processing a large contact-and-opportunity file.

What does a HighLevel account cost for your contact list?

A business owner smiles during a phone call outdoors, from our import contacts guide
HighLevel lists messaging usage charges separately from its subscription.

Your monthly subscription and messaging usage are separate charges. HighLevel list price as of October 9, 2026: Starter is $97 a month, Unlimited is $297 a month, and Agency Pro is $497 a month, according to the pricing page. The page lists unlimited contacts on all plans, which does not remove the documented CSV file-size limits.

Compare Starter, Unlimited, and Agency Pro before you choose a monthly subscription. For sub-account administration, read your contract and follow the sub-account transfer guide. Check your messaging usage rates separately from those pricing plans.

FAQ: CSV contact imports in HighLevel

A garage owner reads a tablet in his workshop, from our import contacts guide
The September 22, 2026 restoration guide gives eligible deleted contacts a 60-day recovery window.

What CSV format, columns, and file limits does HighLevel require?

HighLevel’s February 25, 2026 CSV-format guide accepts MM/DD/YYYY, YYYY/MM/DD, MM-DD-YYYY, and YYYY-MM-DD for date fields, and you should use one format consistently. Your file must be .csv with one sheet and a header row matching standard or existing custom fields. For new contacts, include at least First Name, Email Address, or Phone Number. The February 25 guide lists a 30 MB maximum, while the March 24, 2026 getting-started guide permits up to 50MB, so keep your file below the smaller limit.

Why is HighLevel saying my import has unmapped fields?

Map each spreadsheet column to a destination field, or exclude that column from your import. The combined import guide names Don’t import data for unmapped columns as the option for intentionally omitted data. Map mandatory fields before proceeding.

How do I stop a CSV import from creating duplicate contacts?

HighLevel merges existing contacts matched by email or phone, while repeated identifiers within your CSV need separate cleanup. Use the Contact ID for an existing record, or an Email or Phone value that matches your Contact Deduplication Preferences. Remove or combine rows with repeated emails, phone numbers, Contact IDs, or other unique values before re-importing. The April 7, 2026 deduplication guide adds that changes in that panel apply automatically without a Save or Update Information button.

How do I add tags, workflows, and opportunities during an import?

At the initial selection, choose Contacts + Opportunities. At review, add tags or enroll the imported contacts in a workflow. For an Opportunities-only import, the September 17, 2026 guide requires Contact ID, Opportunity Name, and Pipeline in each row. Create your pipelines, applicable stages, and Opportunity custom fields first, because those custom fields are separate from Contact custom fields.

Can I text or email imported contacts, and what will it cost?

After you confirm permission, budget for the published email and SMS usage charges. The LC Email guide, updated August 20, 2026, lists $0.675 per 1,000 emails across all plans and charges for incoming and outgoing mail, including To, CC, and BCC recipients. The phone pricing guide, updated September 29, 2026, lists US and Canada inbound and outbound SMS at US$0.00747 per segment, plus carrier fees. If an agency manages your account, request its actual usage rates before enrolling the list.

How do I fix import errors or clean up a bad import?

For failed rows, open Contacts → Bulk Actions → Show Stats → Download, correct the listed problems, and re-import only those rows. For accidental deletions during your cleanup, HighLevel’s restoration guide, updated September 22, 2026, gives eligible deleted contacts a 60-day recovery window. For an eligible bulk deletion, use Contacts → Bulk Actions → the deletion job’s three-dot menu → Restore, then confirm Restore. The guide states that accounts it describes as HIPAA-compliant do not permit restoration.

TLDR: Your GoHighLevel pipeline tracks potential deals through the steps of your sales process. HighLevel suggests New Lead, Hot Lead, Booked Call, No Show, Delayed and Non-responsive. Keep the names that match your process, then add each opportunity with its contact, stage, estimated value and owner.

Your local business needs one stage for each real sales step: HighLevel suggests New Lead, Hot Lead, Booked Call, No Show, Delayed and Non-responsive as starting names.

You have a potential job to follow up on, but your pipeline is empty. The lead’s details are in front of you, and you need somewhere to record the next step. Create stages in Opportunities → Pipelines, add or import your deals, then use workflow triggers and reporting controls to track them. This guide gives you the clicks for setup, follow-up and report checks.

I read HighLevel’s pipeline creation guide, its opportunity creation guide and its funnel reporting guide before writing this, and they show you how to create stages, assign deals and read the reports. HighLevel’s March 27, 2026 pipeline guide calls Won and Lost stages, while its September 19, 2026 reporting guide calls them statuses. Both say you do not create them. Find the account guide for your business type in the HighLevel tutorial library.

    What is a GoHighLevel pipeline?

A renovation contractor checks a tablet on site, from our GoHighLevel pipeline guide
An opportunity represents a potential deal associated with a contact.

A pipeline represents your sales process, and an opportunity represents a potential deal within it. HighLevel’s getting started guide, updated August 24, 2026, defines a stage as a step in that process and a contact as the associated person. Your contact record identifies the person, while the opportunity tracks the potential sale.

Your opportunity ties together the contact, pipeline, stage, estimated value and assigned owner. HighLevel’s opportunity creation guide, updated July 17, 2025, describes the owner as the person responsible for the deal. Enter the estimated deal value in Opportunity Value, then select the person responsible for the deal in Owner.

Which stages does your local business need?

A warehouse manager checks a tablet between shelves, from our GoHighLevel pipeline guide
HighLevel provides Won and Lost as opportunity statuses without requiring custom pipeline stages.

Your stages should match your actual sales steps. HighLevel’s August 24, 2026 getting started guide suggests the names below and tells you to customize them for your business. Select names that fit your sales pipeline, not a required sequence. The guide also suggests Closed, omitted here because you will record outcomes in the status field.

Names to consider How to use them
New Lead, Hot Lead, Booked Call Choose the sales steps that match your process. Arrange sequential steps in their expected order for Funnel reporting.
No Show, Delayed, Non-responsive Add these suggested stages where they reflect your process. Use Stages Distribution to see where open deals currently sit.
Won, Lost Record these outcomes through opportunity status. You do not need to create custom stages for them.

You do not need to add Won and Lost manually. The pipeline creation guide, updated March 27, 2026, calls them automatically created stages, while the reporting guide, updated September 19, 2026, calls them opportunity statuses. Both documents say you do not need to create them yourself.

Your custom stage names do not replace the fixed outcome choices. HighLevel’s status guide, updated July 3, 2024, specifies 4 status types: Open, Won, Lost and Abandoned. HighLevel does not let you edit those names, so use stages for the steps and the status field for the outcome.

How do you set up a GoHighLevel pipeline?

A business owner sets up his laptop at a clean desk, from our GoHighLevel pipeline guide
Pipeline names must be unique within a sub-account.

Open Opportunities → Pipelines to create your pipeline, then add the stages and deals you need. The March 27, 2026 pipeline creation guide requires a unique pipeline name within your sub-account. Each stage name must also be unique within its pipeline.

    1. Open your Sub-account. Click Opportunities in the left sidebar, then select Pipelines in the top navigation.
    2. Click Create new pipeline in the top-right corner. Enter Pipeline Name and click Save.
    3. Enter a Stage Name. Click Add stage for additional stages, then use the up and down arrows to put them in order.
    4. In the pipeline’s Stages tab, select a color for each stage and choose Default (no color), Colored dot or Background tint.
    5. Set report visibility with each stage’s funnel and pie-chart icons, then save your pipeline changes.
    6. Return to Opportunities and click + Add Opportunity at the top right.
    7. Select a saved Primary Contact or enter details for a new contact. Enter email and phone manually if unavailable.
    8. Enter an Opportunity Name or retain the default contact name, then select Pipeline and Pipeline Stage.
    9. Set Opportunity Status and Opportunity Value. Assign Owner, add Followers and fill in Opportunity Source if needed.
    10. Click Add/Manage Fields to manage custom fields.
    11. Click Create. Verify the opportunity appears in your pipeline.

The March 27, 2026 pipeline guide lets you choose a destination for deals when deleting a stage. HighLevel moves those deals to your selected stage. To delete a stage:

    1. Open the pipeline and click the delete icon beside the stage.
    2. Select a destination stage for its existing opportunities.
    3. Confirm deletion. HighLevel moves the opportunities to the selected stage.

Your new opportunity defaults to Open, according to Editing Opportunities, updated August 27, 2026. To change its stage later, follow the July 17, 2025 creation guide: drag the card into the desired stage column or open the Edit Drawer and select Stage. To change its outcome, drag the card onto the status target at the bottom, as the editing guide describes.

In Owner, select the person handling your opportunity. That assignment concerns the deal. For your agency arrangement, read your contract. If you run a contractor business, use our contractor account and agency markup guide to review that arrangement.

For a spreadsheet, follow HighLevel’s September 17, 2026 import guide. Create your destination pipelines, stages and any Opportunity custom fields first. Prepare a CSV under 30 MB, then follow these steps:

    1. Open Opportunities → Import. Select Opportunities when your contacts already exist in HighLevel, or Contacts + Opportunities to import both.
    2. Upload the CSV, confirm upload success and review file warnings.
    3. Choose whether to create or update records. For updates, include and map the correct Opportunity ID.
    4. Map each CSV column to its HighLevel field. For an Opportunities-only import, map Contact ID, Opportunity Name and Pipeline, then any optional fields.
    5. Leave unwanted columns unmapped and confirm Don’t import data for unmapped columns. Enable Don’t update Empty Values to preserve existing values where update cells are blank.
    6. Review mappings, required fields, warnings, excluded columns and empty-value settings, then start the import.
    7. Open Bulk Actions, locate the import and click Show Stats. If rows failed, open Error, download the error log, correct those rows and re-import only the corrected records.

How do pipeline changes start workflow automation?

A mechanic reads a tablet beside an open engine bay, from our GoHighLevel pipeline guide
Manual stage changes trigger matching Pipeline Stage Changed workflows.

Use Pipeline Stage Changed when your opportunity moves between stages. HighLevel’s stage trigger guide, updated February 26, 2026, says manual moves also trigger matching workflows. Before you drag cards during cleanup, check the filters because each matching move triggers the workflow.

    1. Go to Automation → Workflows. Click Create New Workflow or open an existing workflow.
    2. Click + Add New Trigger, search for Pipeline Stage Changed and select it.
    3. Name your Trigger with a clear description of its purpose.
    4. Set In Pipeline to your pipeline and Pipeline Stage to the destination stage that should start the workflow.
    5. Define the follow-up actions, such as notifying the assigned sales representative or creating a follow-up task. Click Save Trigger, then Publish to activate the workflow.
    6. Move an opportunity through the relevant stages, then confirm that each configured action runs.

Choose Opportunity Status Changed for an outcome change such as Open to Won. Its February 26, 2026 guide lists Moved From Status, Moved To Status, In Pipeline and Pipeline Stage filters. Your Pipeline Stage filter limits which deals qualify. Only a status change starts this workflow.

A Stale Opportunities trigger still needs actions before it performs your follow-up. HighLevel’s April 27, 2026 stale opportunities guide explicitly tells you to configure actions after setting the trigger. Add the required reminder, internal notification or stage movement instead of treating the trigger alone as finished marketing automation.

Why do your pipeline reports show different totals?

A site manager studies a tablet at a construction site, from our GoHighLevel pipeline guide
Stages Distribution shows the current placement of open opportunities.

Funnel measures progression, while Stages Distribution shows where your open opportunities currently sit. The September 19, 2026 reporting guide says later-stage deals contribute to applicable earlier Funnel sections. Use Stages Distribution to see the stage that currently holds each open opportunity. The widget shows Won and Lost separately.

Your Funnel reporting period uses the opportunity’s last status-change date rather than its Created date. The same guide requires Dashboard Stats permission and access to the dashboard containing the widget. Check the last status-change date, Dashboard Stats permission and dashboard access before you call the totals wrong.

    1. From your sub-account, open Opportunities → Pipelines and open the pipeline.
    2. Locate its stages. Use the funnel icon to control Funnel visibility and the pie-chart icon to control Stages Distribution visibility.
    3. Save the pipeline changes.

Before you judge a lost deal, review each change to its status. The August 27, 2026 editing guide says marking an opportunity Lost allows you to add a lost reason. The February 26, 2026 status trigger guide says its trigger activates each time the status changes, so review workflow conditions before repeatedly changing outcomes.

    GoHighLevel pipeline setup FAQ

An older business owner on a phone call at his desk, from our GoHighLevel pipeline guide
View Only permits users to update their assigned opportunities.

How do I import opportunities from a spreadsheet?

Open Opportunities → Import, upload your CSV, map its columns, then review failed rows under Bulk Actions → Show Stats → Error, as detailed in the CSV import steps. The September 17, 2026 import guide warns that missing or incorrect Opportunity IDs risk creating another deal instead of updating one. Test a small sample because completed imports have no one-click undo. For Opportunities-only imports, you do not need contact Name, Email or Phone fields when a valid Contact ID identifies the existing contact.

Why does View Only still let someone move opportunities?

View Only protects the pipeline structure while allowing users to move or update their assigned opportunities. HighLevel’s February 9, 2026 permissions guide distinguishes this from No Access, which hides the pipeline completely. Admins retain full access, and HighLevel blocks access removal while a user owns opportunities in that pipeline, so reassign those deals first. To review your settings, open Opportunities → Pipelines → Key icon → Manage permissions, choose the sharing mode and access level, then click Save.

How do I see opportunities from every pipeline together?

Use your Opportunities top-right toggle to switch to List View, then select All Pipelines from the Pipeline dropdown. HighLevel’s August 28, 2026 List View guide says All Pipelines is unavailable in Board view because a board uses a single pipeline’s stages. Sorting by stage in All Pipelines falls back to Created date.

Why won’t my workflow move a deal to an earlier stage?

For the Update Opportunity action, enable Allow Opportunity to Move to Any Previous Stage. HighLevel’s August 7, 2025 action guide identifies that toggle as the requirement for backward movement. Your stage-change workflow still triggers on backward moves when its conditions match, according to the February 26, 2026 stage trigger guide.

Do I need workflows before adding my first opportunity?

No, your initial setup does not require workflows. The August 24, 2026 getting started guide says you have a choice of manual creation, CSV import, workflow automation or a combination of those methods. Its automation example uses Form Submitted with Create/Update Opportunity, with Allow Opportunity to Move controlling updates when a record re-enters. After you publish that workflow, future submissions to the selected form place leads in your chosen pipeline and stage.

HighLevel’s Facebook ad setup guide calls for Facebook Pixel and Conversion API in Workflows for landing-page traffic.

Connect your ad account first. HighLevel’s Google Ads widgets guide, updated July 14, 2026, documents spending, clicks, impressions and conversions. Check widget accounts.

    1. Confirm you have permission to view or edit dashboards and create or schedule reports.
    2. Open sub-account → Settings → Integrations → Google Ads. Connect a Google user with administrator or Google Ads manager access. Verify the correct Manager account (MCC) and client Ad account IDs.
    3. In Google Ads, open Account Settings → Tracking → Tracking template. Paste HighLevel’s template from its Google ad setup guide, updated September 30, 2022. Run a test and fix active-campaign errors.
    4. Add the Google ad setup guide’s Step 4 precautionary script as a backup when the UTM template misses attribution.
    5. Open Dashboards → your dashboard → Edit dashboard → + Add widget.
    6. Select Google Ads → Total cost, Total conversions or CPC (cost per click).
    7. Check Integration → Email, Manager account (MCC) and Ad account, then Save changes.

Facebook Ads reporting needs your connection under Settings → Integrations → Facebook (LeadConnector). HighLevel’s Meta Ad Widgets guide, updated January 15, 2026, requires Business Manager, ad-account and page permissions. Each sub-account needs its own connection.

    1. For landing-page traffic, set up Facebook Pixel and Facebook Conversion API in Workflows per the Facebook ad setup guide.
    2. Confirm you have permission to manage Ad Manager connections, edit dashboards and create or schedule reports.
    3. In Ads Manager, select your campaign, then Manage ads → Ads → Edit → Tracking → Build a URL parameter, per the Facebook ad setup guide, updated November 7, 2022.
    4. Use unique campaign, ad-set and ad names. Keep names unchanged. If renaming, create a new campaign, ad-set or ad, otherwise CRM attribution retains the original campaign. Exclude special characters and emoji from tracked parameters.
    5. Set Campaign Source to fb_ad, Campaign Medium to {{adset.name}}, Campaign Name to {{campaign.name}} and Campaign Content to {{ad.name}}. Click Add Parameter, set campaign_id to {{campaign.id}}, then Apply. Ad previews omit these parameters.
    6. Open Dashboard, select your dashboard, then Edit Dashboard → Add Widget.
    7. Choose a chart type and Meta Ads metric.
    8. Set campaign and date filters, then Save.

For empty Google widgets, check connection, dates and Conditions. If Reporting shows spending, check your widget’s Integration account. For blank Meta widgets, check account selection, LeadConnector permissions, campaign filters and dates.

How does attribution show where your leads came from?

Latest Attribution changes after a subsequent recorded interaction.

First Attribution records your contact’s initial interaction. Latest Attribution changes after another recorded interaction. HighLevel’s attribution guide, updated August 26, 2026, explains that distinction for your attribution report.

    1. Open Contacts → your contact.
    2. Open Activity → bottom-right attribution.
    3. Compare First Attribution and Latest Attribution.

Your Contacts by Source and Contacts by Medium widgets filter by Latest Attribution. HighLevel’s Contacts Widgets guide, updated June 18, 2026, excludes contacts without attribution. These lead generation totals exclude unattributed contacts.

Your native forms, surveys, calendars, chat widgets and order forms record attribution after supported submissions. Paid-source templates require matching, case-sensitive UTM parameters. Follow these attribution rules:

    1. Use utm_source=adwords for Google and utm_source=fb_ad for Facebook.
    2. Keep form submissions on the ad’s final URL, without redirecting visitors elsewhere.
    3. Keep HighLevel’s templates intact without custom UTM additions.

For your website, HighLevel’s External Tracking guide, updated August 26, 2026, requires the account’s tracking script. Fields must be readable HTML. External Tracking does not support iframes or third-party widgets that hide their inputs.

    1. Have your website editor verify a valid HTML form, named inputs and visible DOM fields.
    2. Include email for contact creation or matching.
    3. Open Settings → External Tracking → Copy Script. Keep the account’s tracking ID unchanged.
    4. Install the script before the closing body tag on every page.
    5. Submit a test form, then open Sites → Forms → Submissions → External Forms.
    6. Check contact records and activity details for captured fields and unmapped data.

    Why do report totals disagree?

A business owner leans in to check her laptop, from our GoHighLevel reporting guide
The number-pool guide directs you to Reporting → Call Report to check source and keyword attribution.

Compare your date range, phone-number or staff filter, and each metric’s definition. HighLevel’s Reporting FAQs document, updated March 8, 2024, says Call Reporting follows phone numbers while Agent Reporting follows staff members. Location dashboard revenue sums won-opportunity monetary values, not payments received. Facebook Ad Reporting revenue comes from Opportunity data, not Facebook’s platform, and requires two workflows to integrate conversion data.

Your Google Ads call count does not feed Call Reporting. Website call tracking requires a number pool and script. The number-pool guide, updated September 1, 2026, requires at least 4 numbers and bills each at your account’s standard number rate.

    1. Open Settings → Phone Numbers → + Add Number → Add Number Pool → Visitors Activity. Select All visitors, then Next: Create Pool.
    2. Name and size the pool. Set an external forwarding number and the website number to swap. Acknowledge the number purchase, then Next: Choose Numbers.
    3. Select tracking numbers → Next: Number Features. Review whisper-message and recording options, then Activate Number.
    4. Open the pool’s three-dot menu → Number Pool Info. Copy Normal Snippet Code.
    5. Open Sites → Funnels or Websites, select your site → Settings. Paste the snippet at the bottom of Body Tracking code, then Save.
    6. Test number swapping in an incognito browser. For PPC search, use an actual Google ad. For All Except Direct, follow a link from another webpage.
    7. Verify attribution: Reporting → Call Report → Keyword column and source attribution. Scroll right → arrow-down button for the visited link.

Your General Widgets have independent dates. The General Widgets guide, updated October 6, 2026, documents comparisons with Last period or Last year. Read each widget’s displayed date property and range.

    1. Open Dashboard → Edit dashboard.
    2. Hover over your widget → three-dot menu → Edit.
    3. Open Configure → Advanced settings. Inspect Date property, Date range override and Comparison date range.
    4. Set the comparison period, then Save.

Dashboard Quick Filters do not affect your General Widgets in that release. Where available, Conditions saves filters determining which records a General Widget counts. Compare each widget’s saved Conditions, Date property and Date range override.

How do you export or automatically email reports?

A team lead takes a call at her laptop, from our GoHighLevel reporting guide
Email and PDF table widgets show only the first 100 records.

Build, download or schedule under your Reporting → Custom Reports menu. HighLevel’s custom reports guide, updated August 6, 2026, includes multiple dashboards and custom reports on all three plans. HighLevel list price as of October 9, 2026: the published plan comparison lists Starter at $97 a month, Unlimited at $297 a month and Agency Pro at $497 a month.

    1. Open Reporting → Custom Reports and click New Report.
    2. Start from scratch or convert your dashboard. Rename the report atop the builder, including the reporting period.
    3. In Page Properties on the right, customize or remove the cover and set logo, headers and background color.
    4. Add widgets with the left + icon, titles and sections through Elements Menu, and preset or custom themes through Themes.
    5. Add pages with + above or below a page. Page Icon lists pages to drag, reorder and rename.
    6. Click Download for PDF, or Save → Send or Schedule.
    7. Set frequency, time and date range. Enable Compare With for trends and Widget-Level Date Settings to retain individual dates.
    8. Enter Sender Email, Subject, Recipients and any Optional Email Body.
    9. Send a test email, then Save and Schedule.

Your email and PDF tables show only the first 100 records without drill-down charts. Recipients need a HighLevel login for the complete report or dashboard dataset. PDFs exclude images and iframes.

Your builder uses browser timezone. Email preview uses sub-account timezone, and Google or Facebook data uses ad-account timezone. Compare your monthly subscription plans in the Starter, Unlimited and Agency Pro comparison.

    GoHighLevel reporting FAQ

A cafe owner smiles over a cup of coffee, from our GoHighLevel reporting guide
Custom report emails keep the values HighLevel captures when it generates each email.

Where do I find reports in my GoHighLevel sub-account?

Your Reporting menu contains Appointment Report and Custom Reports, plus dedicated Call Reporting and Agent Reporting on Agency Pro. Only dashboard owners or roles with Full permission change dashboard sharing permissions. HighLevel’s dashboard permissions guide, updated February 2, 2026, specifies the dashboard’s three-dot menu → Manage Permissions → Private off → sharing permissions → Save.

Which report should I use for ads, leads, calls, appointments or staff?

Use Google Ads or Meta Ads widgets for your spend and conversions, Contacts by Source for attributed leads, Call Reporting for incoming/outgoing calls, Appointment Report for booking statuses and Agent Reporting for staff opportunities. Most Popular Days shows the busiest booking weekdays.

What do first and latest attribution mean?

First Attribution keeps your contact’s first recorded interaction. Latest Attribution records the most recent one. The August 26, 2026 guide illustrates this with a contact form submission followed by an order-form purchase: only Latest Attribution changes.

How do I change dates, compare periods and explain mismatched totals?

Match your General Widget’s Date property, Date range override and Comparison date range. The February 2, 2026 permissions guide says Only Assigned Data limits dashboard widgets to the user’s assigned records. Matching dates does not remove that restriction.

Can I automatically email my Google Ads report every month?

Yes, the July 14, 2026 Google Ads widgets guide supports monthly custom-report emails. Your email recipients need no HighLevel accounts, per the August 6, 2026 custom reports guide. Dashboard share links require authentication.

How do I export a report or email it automatically?

Use Download for your PDF or Save → Send or Schedule for email delivery. The August 6, 2026 guide says emails capture values when generated. Later report changes leave sent emails unchanged.

Why does my dashboard show different numbers from the Facebook Ads report?

Your dashboard revenue totals won-opportunity monetary values. Facebook Ad Reporting revenue comes from Opportunity data through two conversion workflows. The March 8, 2024 Reporting FAQs say its Sales count needs the Lead Event workflow and counts Facebook lead opportunities marked WON.
