TLDR: A sub-account transfer moves your whole HighLevel sub-account from the agency that holds it into another HighLevel account, including one you own. Your contacts, conversations, calendars, funnels and workflows travel together. Your Stripe, Google and Facebook connections need reconnecting, and your phone numbers move on their own only when both agencies use LC Phone.
Your current agency starts the move and the receiving account accepts it, so you back up your contacts and map every connection and phone number before you ask.
If you pay an agency a monthly retainer for the system behind your leads and bookings, $500 to $3,000 a month is the range we see across the market. HighLevel lets an agency put its own logo and branding on the login, so the system you pay for is often a HighLevel sub-account under another name. The HighLevel list price as of September 15, 2026 runs $97 to $497 a month for the software itself.
A sub-account transfer moves your account from one agency to another without rebuilding your systems from scratch. You keep your contact management, your CRM and your sales pipeline intact.
Your part starts before anyone presses the transfer button.
Sub-account transfer, eject, or rebuild: which path fits your move?
I read HighLevel’s sub-account transfer guide and its eject guide before writing this, and both say the releasing agency starts the transfer.
HighLevel’s Transfer Sub-account action gives your agency two options, transfer to an existing agency or eject to a new agency, and a rebuild from your own exports sits outside that tool. Your situation decides which path fits.
A transfer happens when your current agency moves the sub-account into another HighLevel account that already exists, your own account included. The releasing agency requests the transfer, enters the receiving agency’s Relationship Number, and waits for the receiving agency to approve it. Per HighLevel, a sub-account transfer does not merge two accounts or move selected data. The complete sub-account and all supported data move together.
Check that the receiving account has room for your sub-account, any compliance add-ons it needs, and an active status before the request goes out.
An eject converts your sub-account into a standalone agency. Your current agency nominates one user from your sub-account as the new agency owner, that nominee receives an email to sign up for the $97 per month plan, and your sub-account moves into the new account once it exists. The nominee becomes the agency owner on signup.
A rebuild leaves the account where it is and copies your data out. An admin user exports your contacts to a CSV, and a user with Agency View access builds a snapshot of your workflows, funnels and calendars. You then set up the new account from those copies.
Both a transfer and an eject start with your current agency, so neither one skips that conversation. Choose a transfer when the account you want to land in already exists, your own included. Choose an eject when your agency agrees to spin the sub-account out as its own new agency. Choose a rebuild when you want portable copies of your data and plan to set up the CRM again.
What moves with your account and what does not
Your data travels with the sub-account on both paths, but connections to payment tools and outside services stay behind. You reconnect them once the sub-account lands.
Websites, funnels, calendars, all automations, contacts with conversations, appointments, opportunities, and account history all transfer. After an eject, your automations all arrive set to Draft, while a standard transfer moves automation workflows in their existing state. Contacts caught mid-workflow stay in the same position.
Your CRM records keep your appointment scheduling data and your opportunities. On both paths, these stay behind: Google and Facebook connections, sub-account Stripe fields, SaaS settings, Smart Lists, external calendar connections, and Mailgun or SMTP setups.
Both paths leave certain active subscriptions behind. For an eject, HighLevel’s guide has your agency cancel WordPress, Yext, WhatsApp and Dedicated IP subscriptions before it requests the move. For a standard transfer, the guide calls for cancelling those subscriptions when they block the move. If your sub-account uses LC Email, a standard transfer unassigns your dedicated IP, drops its subscription, removes a dedicated email domain your agency assigned and carries across one your own sub-account owns. An eject does not carry domains over automatically, so you re-add your domains in the new account.
Your phone numbers depend on the provider behind them. If both agencies use LC Phone, your numbers move with the sub-account, eligible A2P registration stays with them, and future usage bills to the receiving agency. If either agency uses Twilio, your numbers do not move automatically, and the agencies and the Twilio account owner coordinate that move separately. After an eject, HighLevel puts that coordination on you as the new owner.
CSV exports and snapshots for your sub-account transfer data
An export backs up your data for import elsewhere. A snapshot copies configurations like workflows.
A CSV export includes names, email addresses, phone numbers, tags, and custom fields. Notes over 255 characters truncate. Exports exclude automation history like past emails or SMS logs. Your file opens in Excel, Google Sheets, or spreadsheet software.
Your export files stay available for 30 days. Snapshots copy configurations. Workflows, funnels, calendars, forms and dashboards copy as templates. Contacts, appointments, conversations, message history, Stripe and integrations stay out of a snapshot.
The order that protects you: what to do before your agency sends the request
Each step depends on the last, so you follow this sequence.
First, read your contract with your current agency. Look for notice periods, data ownership terms and any transfer restrictions. You need to know who holds the account before you ask for anything.
If the terms leave you unsure, ask your agency to clarify them in writing before you go further.
Second, back up your contacts. An admin user opens Contacts, selects all contacts, sets the columns with Manage Fields and exports, then downloads the file from Bulk Actions within 30 days. The file carries only the columns visible in your Contacts table, so check those columns first. Your contact list then survives whatever happens to the transfer.
Third, list every third-party connection: Stripe for payments, Google or Facebook for ads, Mailgun or SMTP for email, QuickBooks, Yext and anything else you log into. You reconnect these after the move, and on a standard transfer your email switches to the receiving agency’s default provider.
Fourth, check which provider holds each phone number. If both agencies use LC Phone, your numbers move with the sub-account and eligible A2P registration stays with them, so you start nothing early. If either agency uses Twilio, the agencies and the Twilio account owner coordinate the move separately, and HighLevel Support runs moves between LC Phone and Twilio in about one to two business days once it has what it needs. Keep every number active with its current provider until HighLevel confirms the move is complete.
A number that still sits with an outside carrier needs a port into HighLevel instead, which takes two to four weeks for fewer than 50 numbers after you submit the paperwork.
Fifth, ask your current agency in writing to send the transfer request, and agree on a date. Keep the message short and friendly, and name the account you want your sub-account to land in.
Last, your current agency sends the request. For a transfer, give them the Relationship Number of the account receiving your sub-account, and they enter it under Transfer Sub-account. The receiving agency approves the request and the sub-account moves as soon as it does, so if that account is your own, the approval is yours to give. HighLevel Support steps in only when the request hits a problem. For an eject, name the user they nominate as the new owner.
The week after: what to verify so you stay live
Transfer completion means HighLevel moved your data, and now you test it. Your Stripe fields arrive cleared on both paths. Your phone routing needs a live test.
First, open every workflow that ran before the move. After an eject they all sit in Draft, so you test one end-to-end before you switch the rest back on. After a standard transfer, send a test lead through your live workflows and confirm each one completes.
Second, test calendars. Your appointment scheduling transferred, but external connections did not. Verify availability rules, resource assignments, and appointment reminders work. Send a test appointment request. Verify the entry appears in the receiving account.
Third, reconnect payments. If you use Stripe, go to Settings, Integrations, and connect Stripe again following the platform’s authorization steps. Test a small transaction.
Fourth, test phones. Your two-way texting and call tracking depend on working phone routing. Place an inbound call.
Verify it rings in HighLevel. Send a test text. Check voicemail. Your SMS campaigns need a live test too.
Fifth, verify A2P registration. For US local numbers, review your A2P 10DLC status and attach every applicable number to an approved campaign before you rely on SMS. Numbers that moved with the sub-account between LC Phone agencies keep eligible A2P registration, and HighLevel’s phone guide says not to assume registration moved with any other number.
Sixth, confirm your websites and funnels load on your own domains. After an eject, re-add those domains first.
Ready to move in the right order?
Here is my honest read: a sub-account transfer into an account you own is the cleanest way out, because your contacts, calendars and workflows arrive together. When the account is yours, your contact management, your CRM records and your sales pipeline sit under your own login. See how the move works.
Sign up for your own HighLevel account through our link and we migrate your contacts, pipelines, calendars, automations and funnels into it at no charge. You pay HighLevel directly, from $97 a month. We handle porting and A2P re-registration as part of the move.
In my view, the month the account moves into your name is the month you stop paying for a branded login.

Common questions about sub-account transfers
Does a transfer move only part of a sub-account?
How long does a sub-account transfer take?
HighLevel’s transfer guide sets no fixed timeline. Your current agency sends the request, the sub-account moves as soon as the receiving agency approves it, and timing varies when eligibility requirements or account dependencies need resolving. Agree on a date with both sides in writing before the request goes out.
Do your contacts stay in their workflow during transfer?
Yes. Your contacts remain in their workflows and their enrollment data moves with them. A contact waiting on a step stays on that step. After an eject, every automation arrives set to Draft, so you switch each one back on before it runs again.
Do you need to tell your current agency first?
Yes. HighLevel’s transfer guide says the releasing agency raises the transfer request, and an eject starts with your agency too, so your current agency has to act on either path. Read your contract for any notice terms first, then put your request in writing.
What happens to your phone number?
If both agencies use LC Phone, your number moves with the sub-account and eligible A2P registration stays with it. If either agency uses Twilio, your number does not move automatically, and the agencies and the Twilio account owner coordinate that move separately. Keep your number active with its current provider until HighLevel confirms the move is complete.
Is it possible to take your data without transferring the account?
Yes, with limits. An admin user exports your contacts to a CSV, which leaves out automation history and any column hidden in your Contacts table. Your workflows, funnels and calendars copy through a snapshot, which a user with Agency View access creates, and a snapshot never carries contacts, conversations or Stripe connections.
