You have a maintenance invoice on your desk. You want to know which workflows, domains and numbers someone checked for that monthly fee. Compare quotes for identical tasks and hours. Use this guide’s published charges and account checks in your quote.

I read HighLevel’s pricing guide, its workflow execution-log guide and its wallet guide before writing this, and your quote should list labor, software and wallet funding separately. Its pricing guide, updated August 22, 2026, lists subscriptions and add-ons, while its wallet guide, updated August 12, 2026, explains wallet-funded usage. Separate platform charges from agency labor.

What should a GHL maintenance retainer cost?

HighLevel’s cited pages price software, support and setup. Compare identical scopes. Separate your labor quotes from software, customer support and setup.

Published charge	Price and scope
HighLevel software	HighLevel list price as of October 9, 2026: Starter $97 a month, Unlimited $297 a month, Agency Pro $497 a month, according to the published pricing plans.
Premium Support	On October 9, 2026, HighLevel’s Premium Support page listed $500 a month or $5,000 a year for support.
Advanced Account Setup	HighLevel updated its agency setup pricing guide on August 22, 2026. It lists $1,000 for guided agency setup, consulting and implementation support.

Put maintenance labor on its own line in your quote. HighLevel also lists usage charges. Separate phone numbers, text messaging, sent emails and premium AI.

Request an hourly rate and estimated hours. Require tasks, included hours and extra-work rates in your retainer quote. Compare these fields:

1. Included tasks and hours: use identical scope.
2. Overflow rate and approval rule: require your approval before extras.
3. Exclusions: name separately billed software, usage, add-ons and repairs.

What should your GHL maintenance retainer cover?

List your workflows, sending domains, numbers, user roles and integrations. Request evidence. Name checked workflows and channels.

1. Follow the execution-log guide, updated April 15, 2026: Automations → Workflows → open the workflow → Execution Logs → View Details. Errors highlight Status or View Details. Go To Action opens the failed action in the Builder and its Action Sidebar for changes.
2. For message-linked errors: Conversations → open conversation → select impacted message → message details → under Workflow, click the workflow link. HighLevel opens Execution Logs and Execution Details with contact and execution context preselected.
3. For failed SMS, follow HighLevel’s SMS troubleshooting guide, updated September 3, 2026:
   1. Identify whether one contact, one sending number or all outbound messages fail.
   2. Open the failed message in Conversations. Record status and exact error code.
   3. Check the recipient: valid mobile number, correct format, SMS-capable, no opt-out or Do Not Disturb.
   4. Confirm your sender is active, SMS-capable, correctly configured and registered for A2P or toll-free messaging where required.
   5. Check daily send caps, ramp-up, suspension and destination-country geo-permissions.
   6. Check message length against carrier limits, MMS attachments under 5 MB, valid URLs and messaging-policy filtering.
   7. Find the cause and resolution in the LC Phone System - Error Code and Warning Dictionary.
   8. Correct the cause, then retest once.
   9. If failure persists, contact HighLevel Support with sending number, recipient number, timestamp and error code.
4. For email marketing: Settings → Email Services → Dedicated Domain & IP → the domain’s three-dot menu → Verify domain. The DNS guide, updated June 30, 2026, documents DNS verification. Edits require provider access. Record status, then test emails for SPF and DKIM passes in headers. Monitor DMARC reports and inbox placement with testing tools.
5. Check applicable US 10-digit local numbers after A2P brand and campaign approval at Settings → Phone System → Phone Numbers → the number’s three-dot menu → Select A2P campaign to Link. Select the approved campaign and return to the list to confirm the green A2P Verified label. Follow the linking guide, updated September 8, 2026.
6. Review staff access using the user-permissions instructions, modified October 6, 2026: open the Sub-Account → Settings → Users → open the user → Roles & Permissions. Select Admin or User and configure supported module and granular permissions. Enable Only Assigned Data when the user should see only supported records assigned to them, then click Save.
7. HighLevel’s Google Calendar guide, updated May 8, 2026, directs: Settings → Integrations → Google → check the missing-permissions warning → Reconnect to grant missing permissions.
8. Follow HighLevel’s Facebook troubleshooting guide, updated October 7, 2025: affected sub-account → Settings → Integrations → Facebook → Connected to disconnect → Connect → complete authorization → select page → Connect Page.
9. Follow HighLevel’s Stripe connection guide, updated August 18, 2026: Payments → Integrations → check Stripe status. If HighLevel does not show Stripe enabled, confirm an account with sufficient permissions completed authorization. To reconnect, HighLevel directs: Stripe → Connect or Connect with Stripe → follow authorization instructions → log in → review and authorize → Payments → Integrations → confirm connected or enabled. HighLevel directs you to click Manage, when available, for payment-method settings and review payment-method and payment-provider settings before launching checkout.
10. For rejected A2P campaigns, open Settings → Phone System → Trust Center → Brands & Campaigns → Campaigns → View required fixes beside each rejection reason. The campaign rejection guide, updated September 9, 2026, says: “Fix all listed rejection reasons before resubmitting.” For correctable errors, fix every issue, review the campaign and resubmit. For uneditable required fields, correct the underlying issue and create a new campaign only if necessary. For forbidden or high-risk content, the guide directs: “Do not resubmit the same Campaign.” Review the applicable messaging restrictions.

Include these integration, funnel and CRM checks. HighLevel lists workflow automation, social media management and reputation management as features. Record your disconnections and unresolved workflow errors.

A2P 10DLC approval does not automatically link your numbers. The guide states: “Sole Proprietor brands are limited to 1 campaign and 1 phone number per campaign”. Before linking more local numbers, check registration type at Settings → Phone System → Trust Center. Request number statuses and confirm messaging requirements with your own counsel.

Which maintenance functions does HighLevel automate?

HighLevel automatically issues your dedicated-email SSL after verification. Its dedicated-domain SSL guide, modified June 30, 2026, confirms the certificate costs nothing after you add and verify the domain. Separate your diagnosis and repair charges from the certificate.

Auto Recharge adds prepaid funds below your configured threshold. Usage consumes those funds. Wallet Auto Recharge cannot be disabled.

1. For SSL Pending or Unknown, follow the SSL guide: Settings → Email Services → Dedicated Domain And IP → Verify Now. Confirm your DNS records are correct and marked verified, then click Verify domain. If unresolved, double-check DNS.
2. In the agency account, open Settings → Billing → Wallet & Transactions. Review Auto recharge with and when balance is lower than for the amount and threshold. Open Summary and Detailed Transactions to identify spending by product or sub-account. Open Monthly Wallet Top-up Receipts from the Billing Dashboard for funding records.
3. To stop automatic increases in the recharge amount, open the three-dot menu → Disable Auto-update → Yes. This disables Smart Adjustment while Auto Recharge remains active.
4. For failed location-wallet Auto Recharge, request the agency-admin email in HighLevel’s failure-notification announcement, retrieved October 9, 2026. It gives the exact failure reason. HighLevel’s rebilling and wallets guide, updated September 30, 2026, directs checking Agency Stripe for sub-account payment failures, contacting Stripe Support and asking the customer to check with their bank. It says a negative wallet halts LC services until successful payment reloads it.
5. For snapshot changes, have the agency user follow the snapshot refresh instructions: Agency View → Account Snapshots → Refresh icon → select changed assets → Refresh. Then use Push Update to select assets and sub-accounts that previously imported the snapshot.

Snapshot refresh is manual: the August 27, 2026 guide says source-account changes do not update an existing snapshot automatically. Failed assets do not stop the refresh, and you retain the option to retry failures alone. Updates push only within your agency, while external agencies must re-import from a new link. If refresh deletes a step from a snapshot-created workflow, HighLevel automatically removes contacts waiting there. Execution Logs record “Removed by - Snapshot Refresh” with side-panel details.

What should your agreement and maintenance report show?

Your GHL maintenance retainer report should list checks, findings, changes and unresolved issues. Match tasks and hours to your agreement. Read your contract before revising scope or billing.

Work covered	Evidence to request
Workflow review	Workflow, action, execution date, error and change. State whether you fixed each error or still need its cause.
Domain and number checks	Sending domain, DNS verification and applicable number’s A2P Verified status. Require the report to name each correction.
Access and snapshot changes	Changed roles or permissions, refreshed assets, receiving sub-accounts and who authorized changes.
Billing review	Separate subscription, usage, wallet funding and maintenance labor. Request hours used from your allowance and approval before extras.

Use the Phone System Pricing & Billing Guide, modified September 29, 2026, to identify campaign charges. It states: “Submitting your campaign starts both your one time registration fee and monthly campaign fee, regardless of the review outcome.” Ask for any registration-correction labor separately from that recurring campaign charge.

If an agency supplies your account, ask which checks and agency-level settings it manages. Open Wallet & Transactions from the agency account and Account Snapshots from Agency View. Use our explanation of white label agency reselling to review account and support responsibilities.

Questions about HighLevel maintenance charges and checks

What should a GHL maintenance retainer actually include?

Require checks and repairs for each SMS marketing number, with its applicable registration or verification status. The linking guide states: “Toll-free phone numbers do not use A2P campaign linking and follow a separate verification process.” Record that process for your toll-free numbers.

How much should I pay, and what should be billed separately?

Compare providers’ tasks, included hours and extra-work rates in adjacent columns. Reconcile your monthly subscription outside the Agency Wallet. That wallet pays eligible usage and wallet-related charges, excluding the subscription.

What does HighLevel already handle, and what support does it sell?

HighLevel issues dedicated-email SSL after verification and recharges your Agency Wallet below its threshold. Premium Support offers dedicated reps who know your setup and human walkthroughs. List your maintainer and Premium Support representative separately so your team knows who handles each request.

Where do I click to check workflows, messages, domains and connections?

Workflow logs: Automations → Workflows → open workflow → Execution Logs, or the message’s Workflow link in Conversations for its execution context. Domains: Settings → Email Services → Dedicated Domain & IP → domain’s three-dot menu → Verify domain. HighLevel’s integration guides direct you to Settings → Integrations for Google or Facebook, and Payments → Integrations for Stripe. Your custom Execution Logs date range spans at most 30 days, so request the report’s range.

Which problems need attention when something changes?

HighLevel’s Facebook guide lists password and page-permission changes as disconnection causes. Check your connection after either change. For Pending or Unknown SSL, follow the reverification steps above. If unresolved, double-check DNS.

Is hourly GoHighLevel help better than a monthly retainer?

Use hourly help for one approved repair. Use a retainer for recurring named checks and unresolved-issue follow-up. Specify whether your hours cover diagnosis, repairs and permission delays, and who approves extras.

What should the agreement and maintenance report show?

Your agreement should name tasks, hours, exclusions and extra-work approval rules. Your report should match completed checks, corrections and unresolved issues to that scope, naming the authorized workflow manager after access changes. HighLevel’s user-permissions guide says module restrictions block access without necessarily stopping existing workflows, so confirm that manager retains access.
