TLDR: Your GoHighLevel pipeline tracks potential deals through the steps of your sales process. HighLevel suggests New Lead, Hot Lead, Booked Call, No Show, Delayed and Non-responsive. Keep the names that match your process, then add each opportunity with its contact, stage, estimated value and owner.

Your local business needs one stage for each real sales step: HighLevel suggests New Lead, Hot Lead, Booked Call, No Show, Delayed and Non-responsive as starting names.

You have a potential job to follow up on, but your pipeline is empty. The lead’s details are in front of you, and you need somewhere to record the next step. Create stages in Opportunities → Pipelines, add or import your deals, then use workflow triggers and reporting controls to track them. This guide gives you the clicks for setup, follow-up and report checks.

I read HighLevel’s pipeline creation guide, its opportunity creation guide and its funnel reporting guide before writing this, and they show you how to create stages, assign deals and read the reports. HighLevel’s March 27, 2026 pipeline guide calls Won and Lost stages, while its September 19, 2026 reporting guide calls them statuses. Both say you do not create them. Find the account guide for your business type in the HighLevel tutorial library.

    What is a GoHighLevel pipeline?

A renovation contractor checks a tablet on site, from our GoHighLevel pipeline guide
An opportunity represents a potential deal associated with a contact.

A pipeline represents your sales process, and an opportunity represents a potential deal within it. HighLevel’s getting started guide, updated August 24, 2026, defines a stage as a step in that process and a contact as the associated person. Your contact record identifies the person, while the opportunity tracks the potential sale.

Your opportunity ties together the contact, pipeline, stage, estimated value and assigned owner. HighLevel’s opportunity creation guide, updated July 17, 2025, describes the owner as the person responsible for the deal. Enter the estimated deal value in Opportunity Value, then select the person responsible for the deal in Owner.

Which stages does your local business need?

A warehouse manager checks a tablet between shelves, from our GoHighLevel pipeline guide
HighLevel provides Won and Lost as opportunity statuses without requiring custom pipeline stages.

Your stages should match your actual sales steps. HighLevel’s August 24, 2026 getting started guide suggests the names below and tells you to customize them for your business. Select names that fit your sales pipeline, not a required sequence. The guide also suggests Closed, omitted here because you will record outcomes in the status field.

Names to consider How to use them
New Lead, Hot Lead, Booked Call Choose the sales steps that match your process. Arrange sequential steps in their expected order for Funnel reporting.
No Show, Delayed, Non-responsive Add these suggested stages where they reflect your process. Use Stages Distribution to see where open deals currently sit.
Won, Lost Record these outcomes through opportunity status. You do not need to create custom stages for them.

You do not need to add Won and Lost manually. The pipeline creation guide, updated March 27, 2026, calls them automatically created stages, while the reporting guide, updated September 19, 2026, calls them opportunity statuses. Both documents say you do not need to create them yourself.

Your custom stage names do not replace the fixed outcome choices. HighLevel’s status guide, updated July 3, 2024, specifies 4 status types: Open, Won, Lost and Abandoned. HighLevel does not let you edit those names, so use stages for the steps and the status field for the outcome.

How do you set up a GoHighLevel pipeline?

A business owner sets up his laptop at a clean desk, from our GoHighLevel pipeline guide
Pipeline names must be unique within a sub-account.

Open Opportunities → Pipelines to create your pipeline, then add the stages and deals you need. The March 27, 2026 pipeline creation guide requires a unique pipeline name within your sub-account. Each stage name must also be unique within its pipeline.

    1. Open your Sub-account. Click Opportunities in the left sidebar, then select Pipelines in the top navigation.
    2. Click Create new pipeline in the top-right corner. Enter Pipeline Name and click Save.
    3. Enter a Stage Name. Click Add stage for additional stages, then use the up and down arrows to put them in order.
    4. In the pipeline’s Stages tab, select a color for each stage and choose Default (no color), Colored dot or Background tint.
    5. Set report visibility with each stage’s funnel and pie-chart icons, then save your pipeline changes.
    6. Return to Opportunities and click + Add Opportunity at the top right.
    7. Select a saved Primary Contact or enter details for a new contact. Enter email and phone manually if unavailable.
    8. Enter an Opportunity Name or retain the default contact name, then select Pipeline and Pipeline Stage.
    9. Set Opportunity Status and Opportunity Value. Assign Owner, add Followers and fill in Opportunity Source if needed.
    10. Click Add/Manage Fields to manage custom fields.
    11. Click Create. Verify the opportunity appears in your pipeline.

The March 27, 2026 pipeline guide lets you choose a destination for deals when deleting a stage. HighLevel moves those deals to your selected stage. To delete a stage:

    1. Open the pipeline and click the delete icon beside the stage.
    2. Select a destination stage for its existing opportunities.
    3. Confirm deletion. HighLevel moves the opportunities to the selected stage.

Your new opportunity defaults to Open, according to Editing Opportunities, updated August 27, 2026. To change its stage later, follow the July 17, 2025 creation guide: drag the card into the desired stage column or open the Edit Drawer and select Stage. To change its outcome, drag the card onto the status target at the bottom, as the editing guide describes.

In Owner, select the person handling your opportunity. That assignment concerns the deal. For your agency arrangement, read your contract. If you run a contractor business, use our contractor account and agency markup guide to review that arrangement.

For a spreadsheet, follow HighLevel’s September 17, 2026 import guide. Create your destination pipelines, stages and any Opportunity custom fields first. Prepare a CSV under 30 MB, then follow these steps:

    1. Open Opportunities → Import. Select Opportunities when your contacts already exist in HighLevel, or Contacts + Opportunities to import both.
    2. Upload the CSV, confirm upload success and review file warnings.
    3. Choose whether to create or update records. For updates, include and map the correct Opportunity ID.
    4. Map each CSV column to its HighLevel field. For an Opportunities-only import, map Contact ID, Opportunity Name and Pipeline, then any optional fields.
    5. Leave unwanted columns unmapped and confirm Don’t import data for unmapped columns. Enable Don’t update Empty Values to preserve existing values where update cells are blank.
    6. Review mappings, required fields, warnings, excluded columns and empty-value settings, then start the import.
    7. Open Bulk Actions, locate the import and click Show Stats. If rows failed, open Error, download the error log, correct those rows and re-import only the corrected records.

How do pipeline changes start workflow automation?

A mechanic reads a tablet beside an open engine bay, from our GoHighLevel pipeline guide
Manual stage changes trigger matching Pipeline Stage Changed workflows.

Use Pipeline Stage Changed when your opportunity moves between stages. HighLevel’s stage trigger guide, updated February 26, 2026, says manual moves also trigger matching workflows. Before you drag cards during cleanup, check the filters because each matching move triggers the workflow.

    1. Go to Automation → Workflows. Click Create New Workflow or open an existing workflow.
    2. Click + Add New Trigger, search for Pipeline Stage Changed and select it.
    3. Name your Trigger with a clear description of its purpose.
    4. Set In Pipeline to your pipeline and Pipeline Stage to the destination stage that should start the workflow.
    5. Define the follow-up actions, such as notifying the assigned sales representative or creating a follow-up task. Click Save Trigger, then Publish to activate the workflow.
    6. Move an opportunity through the relevant stages, then confirm that each configured action runs.

Choose Opportunity Status Changed for an outcome change such as Open to Won. Its February 26, 2026 guide lists Moved From Status, Moved To Status, In Pipeline and Pipeline Stage filters. Your Pipeline Stage filter limits which deals qualify. Only a status change starts this workflow.

A Stale Opportunities trigger still needs actions before it performs your follow-up. HighLevel’s April 27, 2026 stale opportunities guide explicitly tells you to configure actions after setting the trigger. Add the required reminder, internal notification or stage movement instead of treating the trigger alone as finished marketing automation.

Why do your pipeline reports show different totals?

A site manager studies a tablet at a construction site, from our GoHighLevel pipeline guide
Stages Distribution shows the current placement of open opportunities.

Funnel measures progression, while Stages Distribution shows where your open opportunities currently sit. The September 19, 2026 reporting guide says later-stage deals contribute to applicable earlier Funnel sections. Use Stages Distribution to see the stage that currently holds each open opportunity. The widget shows Won and Lost separately.

Your Funnel reporting period uses the opportunity’s last status-change date rather than its Created date. The same guide requires Dashboard Stats permission and access to the dashboard containing the widget. Check the last status-change date, Dashboard Stats permission and dashboard access before you call the totals wrong.

    1. From your sub-account, open Opportunities → Pipelines and open the pipeline.
    2. Locate its stages. Use the funnel icon to control Funnel visibility and the pie-chart icon to control Stages Distribution visibility.
    3. Save the pipeline changes.

Before you judge a lost deal, review each change to its status. The August 27, 2026 editing guide says marking an opportunity Lost allows you to add a lost reason. The February 26, 2026 status trigger guide says its trigger activates each time the status changes, so review workflow conditions before repeatedly changing outcomes.

    GoHighLevel pipeline setup FAQ

An older business owner on a phone call at his desk, from our GoHighLevel pipeline guide
View Only permits users to update their assigned opportunities.

How do I import opportunities from a spreadsheet?

Open Opportunities → Import, upload your CSV, map its columns, then review failed rows under Bulk Actions → Show Stats → Error, as detailed in the CSV import steps. The September 17, 2026 import guide warns that missing or incorrect Opportunity IDs risk creating another deal instead of updating one. Test a small sample because completed imports have no one-click undo. For Opportunities-only imports, you do not need contact Name, Email or Phone fields when a valid Contact ID identifies the existing contact.

Why does View Only still let someone move opportunities?

View Only protects the pipeline structure while allowing users to move or update their assigned opportunities. HighLevel’s February 9, 2026 permissions guide distinguishes this from No Access, which hides the pipeline completely. Admins retain full access, and HighLevel blocks access removal while a user owns opportunities in that pipeline, so reassign those deals first. To review your settings, open Opportunities → Pipelines → Key icon → Manage permissions, choose the sharing mode and access level, then click Save.

How do I see opportunities from every pipeline together?

Use your Opportunities top-right toggle to switch to List View, then select All Pipelines from the Pipeline dropdown. HighLevel’s August 28, 2026 List View guide says All Pipelines is unavailable in Board view because a board uses a single pipeline’s stages. Sorting by stage in All Pipelines falls back to Created date.

Why won’t my workflow move a deal to an earlier stage?

For the Update Opportunity action, enable Allow Opportunity to Move to Any Previous Stage. HighLevel’s August 7, 2025 action guide identifies that toggle as the requirement for backward movement. Your stage-change workflow still triggers on backward moves when its conditions match, according to the February 26, 2026 stage trigger guide.

Do I need workflows before adding my first opportunity?

No, your initial setup does not require workflows. The August 24, 2026 getting started guide says you have a choice of manual creation, CSV import, workflow automation or a combination of those methods. Its automation example uses Form Submitted with Create/Update Opportunity, with Allow Opportunity to Move controlling updates when a record re-enters. After you publish that workflow, future submissions to the selected form place leads in your chosen pipeline and stage.

TLDR: Your GoHighLevel dashboard uses widgets to show opportunity status, monetary value, conversion and activity. For an opportunity widget, check its pipeline, date property and date range. Open Conditions on supported widgets to see which records the result includes.

HighLevel dashboard widgets show your opportunity status and value, conversion rates, tasks, campaign actions, funnel progression, current stage placement, and opportunity counts and values by lead source, which you interpret by checking each widget’s supported filters and date settings.

Your dashboard shows a revenue figure that does not match the payments you received. The next chart counts the same opportunity in an earlier stage, even though you moved it forward. The revenue widget sums won opportunity values, while Funnel keeps counting an opportunity in applicable earlier sections after you move it forward. Each section explains what your key widgets measure, where to customize them and which settings change totals.

I read HighLevel’s dashboard widget guide, its custom dashboard guide and its Lead Source Report guide before writing this, and your Lead Source Report counts opportunities, not unique contacts, in Total leads. The widget guide, updated March 25, 2026, explains the measures. The custom dashboard guide, updated November 25, 2025, gives you the creation steps.

What do key GoHighLevel dashboard widgets show?

A carpenter checks his laptop in the workshop, from our GoHighLevel dashboard guide
Opportunity widgets distinguish record counts from monetary values.

Your sub-account dashboard uses widgets to report on contacts, appointments, opportunities, calls and revenue. Use the table to match each General widget to the number or activity it reports. Treat the catalog as a menu of available dashboard widgets, not a promise that every card appears in your account.

Widget What the number or chart tells you
Opportunity Status The status of your opportunity records.
Opportunity Value The monetary value of opportunities by status.
Conversion Rate Conversion rate and revenue from won opportunities.
Funnel Cumulative progression through your visible sales funnel stages.
Stages Distribution Where open opportunities currently sit, with Won and Lost shown separately.
Tasks Tasks and their assigned team members.
Manual Actions Manual SMS and phone-call actions in campaigns.
Lead Source Report Opportunity counts and values grouped by source.

For your pipeline management, separate the count from the value. The opportunity widget reference, dated June 18, 2026, lists 17 opportunity widgets, including Opened Opportunities and Opened Opportunity Value. The former counts open records, while the latter adds their monetary values.

First choose a record count or monetary value in your CRM, then choose the chart that displays it. Won Opportunity Value adds values on won records, and Total Opportunity Value includes every status. HighLevel’s reporting FAQs, updated March 8, 2024, explain that location-dashboard revenue represents won opportunity values rather than payments received.

How should you read opportunity and lead-source numbers?

A business owner reviews figures at his desk, from our GoHighLevel dashboard guide
The Lead Source Report’s Total leads count measures opportunities rather than unique contacts.

Your Funnel counts progression, while Stages Distribution shows current placement. HighLevel’s September 19, 2026 explanation of these charts says later-stage opportunities contribute to applicable earlier Funnel sections. Use Stages Distribution when your lead management question is where open work sits now.

Funnel offers two ways to measure conversion in your sales pipeline. A cumulative percentage measures progress from the Funnel’s start. A next-step percentage measures progress from the preceding section.

Your Lead Source Report’s Total leads count measures opportunities, not unique contacts. The Lead Source Report guide, updated October 6, 2026, gives this example: one contact with 3 opportunities counts as 3 leads. Its Source column uses the opportunity’s source, while HighLevel tracks attribution separately.

    1. In your sub-account, open Dashboard, select the dashboard, and click Edit dashboard.
    2. Select Add widget → General → Lead Source Report.
    3. Choose all pipelines or a particular pipeline, set Conditions, and save.
    4. Click a count greater than zero to open the table of opportunities behind that number.
    5. For missing sources, click a count in the N/A row or filter Source → Is empty.

Add the missing source to each opportunity record. Have your forms, funnels, calendars and workflows record a source when they create opportunities. Check that field before attributing a missing channel row to failed lead generation.

How do you customize the GoHighLevel dashboard?

A business owner works on her laptop at a cafe table, from our GoHighLevel dashboard guide
For team access to a GoHighLevel dashboard, turn off Private Dashboard and set access levels for Agency User, Account Admin and Account User before Confirm.

Your new dashboard starts with Quick Start Widgets. Choose suggested widgets or configure your own. For a widget you configure, save the widget first, then save the dashboard layout.

    1. Open Dashboard → Dashboard Selection Menu → + Add Dashboard. If the button is missing, return to dashboard view mode.
    2. Enter the Dashboard Name, then set the Private Dashboard toggle. For team access, turn it off and set access levels for Agency User, Account Admin and Account User.
    3. Click Confirm. The blank dashboard opens Quick Start Widgets.
    4. For suggestions, choose What is your goal? or Top used widgets, then Confirm & Add. For your own configuration, choose + Add a widget manually, or click the Edit pencil → + Add Widget.
    5. If configuring a widget, click Save inside its panel. Click ✓ Save Changes to save the dashboard layout and exit edit mode.

Your Tasks and Manual Actions widgets lack Conditions. Google Business Profile only allows title edits. The General Widget guide, updated October 6, 2026, describes Configure, Conditions and Themes.

Opportunity Status, Opportunity Value, Conversion Rate, Funnel, Stages Distribution and Lead Source Report accept saved Conditions for assigned user, source and attribution. For these General widgets, your pipeline selection sits in widget settings, outside Conditions. Read the active date property and range on the widget alongside its result.

Why do your dashboard numbers look wrong?

A business owner compares printed pages with her laptop, from our GoHighLevel dashboard guide
Pipeline-stage visibility controls which stages appear in GoHighLevel dashboard Funnel and Stages Distribution widgets.

Check whether your opportunity widgets use different dates or record filters. Created On means the opportunity’s creation date, Updated On means its latest modification, and Status Change means its most recent status change. Reopening an opportunity after a Lost status resets Status Change. Historical figures based on Status Change then use the reset timestamp.

    1. Compare your dashboard Date Picker with your colleague’s selection. The dashboard page guide, updated August 28, 2026, says HighLevel saves the range separately for each user.
    2. For an editable General widget with date controls, open Dashboard → Edit dashboard → hover over the widget → ⋮ → Edit → Configure → Advanced settings. Compare Date property, Date range override and Comparison date range, then Save any changes. An explicit widget comparison overrides the dashboard comparison.
    3. For opportunity widgets, compare the pipeline and saved Conditions. For stable historical reporting, the opportunity widget guide recommends Created On with a Status filter.
    4. If a stage is missing from Funnel or Stages Distribution, open Opportunities → Pipelines → open the pipeline. Find the stage and enable its funnel icon for Funnel reporting or its pie-chart icon for Stages Distribution reporting, then Save.
    5. Check active Quick Filters on compatible custom widgets. They add restrictions to saved widget filters instead of replacing them.
    6. For a daily mismatch, compare your timezones before comparing calendar days. Follow the timezone guide, updated December 30, 2025: Dashboard → top-right ⋮ → Manage Dashboard Timezone → select timezone → Save. A timezone change applies to HighLevel’s internal dashboard metrics, not widgets that depend on third-party data.

Your General widgets do not respond to dashboard Quick Filters in the documented release. The Quick Filters guide, updated September 24, 2025, limits that feature to custom widgets with matching data sources. Its example combines Confirmed appointments in a saved widget filter with Cancelled appointments in a Quick Filter, producing no data because both conditions must match.

Click Quick Filters, add the properties, then apply them. FULL or EDIT access allows configuration, while VIEW access allows using configured filters. Select the property for the data source you intend to filter.

    1. Click Quick Filters → + Add Quick Filters.
    2. Select the properties and click Add.
    3. Review the selection, then click Apply.

Are you viewing an agency dashboard or a sub-account?

A boutique owner checks a tablet on the shop floor, from our GoHighLevel dashboard guide
VIEW permission provides read-only dashboard access.

Your sub-account dashboard reports the location’s operating records, while the agency dashboard reports the agency’s business. The agency dashboard guide, updated August 17, 2026, documents Agency View → Agency Dashboard → Summary, SaaS or Reselling. These agency tools cover revenue, recurring subscriptions, customers and reselling performance.

FULL and EDIT let you change dashboards, while VIEW is read-only. The dashboard permissions guide, updated February 2, 2026, says EDIT permits dashboard and widget changes but excludes dashboard deletion, while VIEW is read-only. If an agency administers your account, ask its administrator which dashboard access level your role has.

Dashboard owners and users with FULL permission change access under the permissions guide, while the dashboard page guide limits that control to owners. If it is absent for your FULL role, ask the owner to review access. Owners and users with FULL permission change access through Manage Permissions.

    1. Open dashboard ⋮ → Manage Permissions.
    2. Adjust access, then click Save.

    What does dashboard access cost?

HighLevel's pricing page lists Custom Dashboards & Reporting among core features.

HighLevel’s dashboard creation guide says your monthly subscription includes multiple dashboards and custom reports on Starter, Unlimited and Agency Pro. HighLevel list price as of October 9, 2026: Starter costs $97 a month, Unlimited costs $297 a month, and Agency Pro costs $497 a month. The pricing page lists Custom Dashboards & Reporting among core features.

HighLevel publishes conflicting access rules: its widget catalog starts customization at $297 a month, while its dashboard creation guide includes all plans. Ask your administrator to check permissions before treating a missing Edit control as a plan restriction. Our Starter, Unlimited and Agency Pro guide compares the three pricing plans.

Your monthly subscription does not include every text-message and email usage charge. The pricing page identifies usage charges for text messaging and emails sent, so separate those from your subscription when reviewing email marketing or SMS marketing costs. Use the HighLevel cost calculator to compare subscription and usage costs. The tutorial library gives you more account procedures.

    GoHighLevel dashboard FAQ

A salon owner at her front desk, from our GoHighLevel dashboard guide
Lead-value permission controls monetary visibility in Lead Source Report.

Why can’t I see money in my Lead Source Report?

You need permission to view lead value before the monetary columns appear. Without that permission, the report shows counts only. Ask your account administrator to grant lead-value permission.

Why does my widget ignore the dashboard date range?

Your Won Opportunities Value This Month widget uses the current month unless you modify it in Configure. The opportunity reference distinguishes it from Won Opportunity Value, which follows the dashboard date range. The For You version also limits the result to the logged-in assignee.

How do I change what my task widgets show?

You control the title and reporting date range on Tasks and Manual Actions. Tasks uses the due date, while Manual Actions uses the created date. Neither has a Conditions tab.

Does my dashboard filter affect other users?

Your selected Quick Filters affect your own view. The guide says they persist within your current browser session and do not affect other users. FULL and EDIT users configure Quick Filters for the dashboard, but each viewer selects their own filter values.

Why did my dashboard change pipelines?

When your saved filter points to a deleted pipeline, HighLevel selects the first available option. That fallback applies when a saved filter value no longer exists. Check the selected pipeline before reading the replacement results.

Who can set the default dashboard?

You need an Account Admin or Agency role with full dashboard access to set the default. EDIT permission does not include that action. Ask the account administrator to review both your role and dashboard permission.
